Beginning in Spring 2025, The University of Texas at Austin implemented an official student email policy to strengthen communication, security, and access to University resources. Through this initiative, all current students received an official UT Austin email address in Microsoft 365 using the “@my.utexas.edu” domain, which serves as the primary email address in their student record. The transition provided students with enhanced security features, more consistent communication with faculty and peers, and access to Microsoft 365 tools such as Word, Excel, PowerPoint, OneDrive, and Teams. By establishing a single official communication channel, the University improved the delivery of important information while expanding access to technology resources that support student success.

Access the Official Student Email Toolkit
Use this Canva toolkit to help promote the official student email initiative across your area. The toolkit includes ready-to-use posters, flyers, digital signage, presentation slides, social media graphics, and email and newsletter templates. Each asset features a QR code linking to a knowledge article with additional details and information about the importance of checking and using official student email.
Using Your UT Official Student Email
If students have never used their UT Microsoft 365 account, they can prepare by reviewing the instructions available in the, Using Your UT Official Student Email knowledge article linked above. The article includes instructions for accessing your M365 account.
Log in to Microsoft 365 Outlook
Sign in to Microsoft 365 and click on Outlook Web App (OWA) to go straight to Outlook. Alternatively, you can login directly through Microsoft 365 Login, both leading to the Microsoft productivity suite.

Incoming Students: Summer 2025
May/July 2025 - Official UT email address becomes primary 05/08/2025 for incoming students who meet the following criteria: incoming summer students, students registered for fall orientation, Dell Med students, student athletes, and students with DOS accommodations, and 7/1/2025 for other incoming students.
Current Students: Summer 2025
July 13, 2025 - We are still in the process of determining the best date for switching current students to official student email.
Incoming Students: Spring 2026
December 1, 2025 - Incoming Spring 2026 students, official UT email address becomes primary student email address.
Understanding The Roles: Microsoft 365 & Google
Microsoft 365
Microsoft 365 is the official email platform for UT. Each student’s M365 email address serves as their primary and official channel for all University-related communications.
UT Mail Google accounts are offered as an additional resource but are not eligible to receive official University communications.
Audiences
The primary audiences for this communications plan are students (undergraduate and graduate, FTIC and continuing) and faculty/staff. The secondary audience for this communications plan is parents/families.
Implementations
Provision of Official UT Austin Email Addresses
Every student will receive an official "@my.utexas.edu" email address when they become a current student. This account is part of the M365 system and offers advanced security features, access to M365 tools (e.g., Word, Excel, PowerPoint, OneDrive, and Teams), and integration with University systems for streamlined communication.
Mandatory Use of Official Email for Communication
All official University communications, including correspondence with faculty, staff, and peers, will be conducted through these official email addresses. Students are required to set up and regularly monitor their accounts to ensure they receive important updates and information.
Enhanced Communication and Security Measures
The initiative focuses on improving communication efficiency and security. Students' official email addresses will be their primary email on record, offering a reliable channel for all University-related communications. Additionally, the system includes enhanced security to protect personal information and critical updates.
