Canva for Campus is the University’s campus‑wide premium version of Canva, designed for higher education and large organizations. It enables faculty and staff to easily create professional, on‑brand digital and print materials such as course handouts, event flyers, social media graphics, and unit‑level presentations using available UT‑approved branding and templates.

UT Austin provides Canva for Campus through enterprise‑level licenses for faculty and staff who create University‑related designs. Enterprise features include access to UT‑branded assets and templates, SSO‑enabled institution‑managed access, Affinity with AI, real‑time collaboration, and premium training and resources to support consistent, high‑quality campus communications.

Who Can Purchase a License

Canva for Campus provides enterprise‑level Canva licenses for UT Austin faculty and staff who create University‑related designs. Licenses may be purchased using departmental IDT funding.

How to Purchase a License

Faculty, staff, or departments can request a Canva license through the online request form at the top of this page. After you submit the request and complete the purchase, you’ll receive a confirmation email with activation instructions sent to your UT Austin email address.

Billing cycle runs Fiscal year September 1 – August 31

General

What do I need to do if I am a first time user?

  1. Request a license.
  2. TRecs will procure your license.
  3. After your license is secured, you will receive an email with login instructions from TRecs.

What if I already have a free Canva account?

You can choose to migrate to the UT Austin Canva for Campus instance, your existing free UT account can be moved over. After migration, you’ll gain access to:

  • Centralized, organization-wide Brand Kits aligned to UT brand standards.
  • Premium templates, photos, videos, graphics, and design assets.
  • Flourish Presenter plan for interactive charts, data storytelling, and research visualizations.
  • Single Sign‑On (SSO) for fast, secure login using your UT Austin credentials.
  • Custom integrations and advanced apps to support your CSU.
  • Priority support through the University’s campus plan.
  • Affinity with AI for mapping ideas, concepts, and research relationships.
  • Real-time collaboration with comments, shared editing, and version history.
  • Easy exporting to PDFs, slide decks, videos, and web links.

How is Canva for Campus different from Canva Pro or Canva Business?

Canva for Campus through enterprise‑level licenses, includes everything in Pro/Business, plus advanced tools, security, and campus‑wide features designed for large organizations. With the campus license, you receive:

  • Auto‑applied brand kits to help you stay on brand without extra effort.
  • Single Sign‑On (SSO) for fast, secure login using your UT Austin credentials.
  • Custom integrations and advanced apps to support your CSU.
  • Priority support through the University’s campus plan.

Can I use Canva for personal design projects?

Canva should only be used for official University business. All work created in Canva must comply with the University’s Acceptable Use Policy, which requires that institutional technology and data be used solely for authorized University purposes.

Personal, commercial, freelance, or non‑University projects should be created using a personal Canva account.

Collaborating with Students

Can I add Student Workers to my Team?

Yes, you can add student workers to your Canva Team; however, please note that doing so will count as adding an additional paid user to your Team.

Because faculty/staff and student accounts are in separate Canva environments, most collaboration needs can be met more efficiently by using the Collaboration Link, which lets student workers view or edit a design without being added to your Team (similar to a shared SharePoint file).

Can I share a Canva file with my students for class?

Yes, the best way to share designs with students is through the Collaboration Link. This allows students to view or work on a design regardless of account type.

Since faculty/staff and student accounts are housed in different Canva environments, students cannot be added directly to faculty or staff Teams, but they can collaborate seamlessly through the shared link.

Account Migrations

I already use Canva. What happens to my content?

Once you join the UT Austin Canva for Campus instance, our Enterprise Technology team and Canva will help ensure your existing files and projects transfer smoothly into the campus environment.

I already paid for Canva for my CSU; can I get a refund?

Yes, you can submit a refund request from your current Canva account before moving over to the Canva for Campus instance, visit Canva's Support page to request your refund.

Will Canva licenses be prorated this fiscal year?

For the fiscal year 2025-2026 the license will be prorated. Starting September 1, 2026 all licenses will be purchased for the full year. If an employee leaves, you are able to transfer the license to another employee, please reach out to Technology Resources (TRecs)

How will Canva be Charged?

Canva Enterprise licenses can be charged through inter departmental transfer of funds (IDT) through Technology Resources (TRecs).

Branding

What is University Marketing and Communications providing?

University Marketing and Communications is providing a suite of branded materials including templates, images, and design assets, to help campus units create communications that align with the University’s brand standards. Visit their website to learn more about the University's brand.

My CSU already has a brand kit. Will we be able to migrate it?

Yes. If your CSU (college/school/unit) already maintains a brand kit, those assets can be migrated into your new Canva for Campus environment. Your team will work with Enterprise Technology and Canva to ensure everything is moved over smoothly without any loss of assets.

All UT Austin faculty and staff license holders receive access to Canva’s full suite of training and support resources. Visit our Canva page in Services and Tools to explore additional learning opportunities, including upcoming UT webinars for faculty and staff, as well as resources like Canva Design School and Canva-hosted webinars available to all students, faculty, and staff.

Canva Premium Support

Faculty and staff can log in to their Canva for Campus UT Austin account, navigate to Settings, and click the purple Premium Support button at the top left of the sidebar. From there, you can access help articles, live chat, or email customer support.
